Privacy Policy
This policy explains what data the Sales Buddy Android app, its backend service and this website (together, the “Service”) collect, why, who sees it, and what choices you have. The Service is operated by Clikdit, New Delhi, India (“Clikdit”, “we”, “us”).
1. Who is who
Sales Buddy is sold to businesses (“Organisations”) whose employees use it for sales work. Two kinds of people appear in it:
- App users: sales employees, team leads, managers and admins that an Organisation invites.
- Customers and prospects: people that an Organisation's staff call, message, email or visit, and whose details the Organisation stores in the Service.
For the sales data an Organisation puts into the Service, the Organisation decides what is collected and why; Clikdit processes it on the Organisation's instructions. For account and security data about app users, and for website enquiries, Clikdit decides how it is used. If you are a customer or prospect and want your data changed or removed, please ask the Organisation that contacted you; we will also help you reach the right one.
2. What we collect in the app
| Data | What it is and why |
|---|---|
| Account details | Name, work email, phone number, role and team. Used to sign you in and show you the right screens. |
| Sales records | Leads, deals, notes, follow-up reminders, products and their attachments, calling batches, notifications. This is the core content of the Service. |
| Call log entries | With your permission (Android “Call log”), the app reads the number, time, duration and direction of calls on your phone so it can match a call to a customer and prompt you to log it. Call audio is not recorded. |
| Voice notes | With your permission (microphone), the audio you record in Voice Add is sent for transcription and extraction of deal details such as name, product and follow-up time. |
| Location | With your permission, your location at check-in, at customer visits and, if enabled by your Organisation, while you are checked in to a shift. Location tracking stops when you check out. |
| Selfies | Photos taken in-app for attendance and customer-visit proof (camera permission). |
| Calendar | With your permission, the app adds follow-up and meeting reminders to your calendar. It does not read your existing events. |
| Connected email and WhatsApp | If you connect Gmail or Outlook, or a WhatsApp Business number, we receive the messages and calls that relate to your customers so they can be attached to the right deal. You choose whether to connect, and you can disconnect at any time. |
| Device and usage data | Push notification token, app version, and technical logs (errors, request times) used to run and secure the Service. |
3. What we collect on this website
- Enquiries. When you use the pilot or contact form, or email us, we receive the details you give (name, email, phone, company, team size and your message). We use them to reply and to set up a pilot.
- Server logs. Our website host may keep basic technical logs (such as IP address and pages requested) for security and reliability.
- Fonts. The site loads fonts from Google Fonts, which means your browser contacts Google to fetch them.
- Cookies. This website does not use advertising or analytics cookies.
4. How we use data
- To provide the Service: match calls to deals, build deals from voice notes, send reminders and notifications, show managers their team's activity.
- To reply to enquiries, set up pilots, bill Organisations and communicate about the Service.
- To keep the Service secure, prevent abuse and fix bugs.
We do not sell personal data and we do not use your data for third-party advertising.
5. AI processing
To turn a voice note or message into structured deal details, the text or audio is sent to AI providers acting for us. At the time of writing these are OpenAI (transcription and extraction) and Google (Gemini). They process the content to return a result for us. We do not permit them to use it for their own purposes beyond providing the service, subject to their terms and the settings on our accounts. AI output can be wrong; a person should check important details before acting on them.
6. Who we share data with
Only with service providers needed to run the Service, and only as needed:
- Supabase: database and file storage.
- Render: application hosting.
- Google Firebase: push notifications. Google and Microsoft for Gmail and Outlook connections you authorise.
- Meta: WhatsApp Business messaging, where an Organisation connects it.
- OpenAI and Google (Gemini): AI processing described above.
- Resend: sending transactional email such as invoices.
- Razorpay: processing payments. Card, UPI and bank details go to Razorpay; we do not see or store them.
Within an Organisation, what you see depends on your role: an employee sees their own leads, a team lead sees their team's, and admins see the Organisation's. We also disclose data if the law or a valid legal process requires it.
Some of these providers process data outside India. We use them under their standard data-protection terms.
7. Permissions on your phone
The app asks for permissions when a feature needs them (call log, microphone, camera, location, calendar, notifications). You can refuse or withdraw any of them in Android settings; the related feature will then not work, and the rest of the app will keep working.
8. How long we keep data
While an Organisation's account is active we keep its data so the Service works. When an Organisation ends its subscription or asks for deletion, we delete or anonymise its data within 90 days, except where we must keep something to meet a legal obligation or resolve a dispute. Encrypted backups roll off on their own schedule. Website enquiries are kept for as long as needed to deal with your request and a reasonable time afterwards.
9. Security
Data is encrypted in transit (HTTPS) and stored with access controls, so users only see what their role permits. Sign-in tokens are kept in the phone's secure storage. No system is perfectly secure; if we learn of a breach that affects you, we will tell the affected Organisation and, where required, the authorities.
10. Your rights
Under India's Digital Personal Data Protection Act, 2023, and similar laws, you may ask to access, correct or delete your personal data, withdraw consent, and raise a grievance. Employees should first ask their Organisation's admin; you can also write to us at the address below and we will respond within a reasonable time, and in any case within the period the law sets.
11. Children
The Service is for working adults and is not directed at anyone under 18.
12. Changes
If we change this policy in a way that matters, we will update the date above and notify Organisations in the app or by email.
